Even though I said "I'd like to share my screen" in a Teams meeting, the share button is grayed out and I can't press it. Or even though you shared it, the other person's screen is completely black... As of February 2026, these Teams screen sharing problems are a really common problem.
In this article, we will organize the reasons why you cannot share your screen in Teams into six reasons and explain the solutions for Windows and Mac in an easy-to-understand manner. We recommend bookmarking it so you don't feel rushed during the meeting.
Cause 1: You do not have "presenter" privileges for the meeting
Teams screen sharing can only be used by participants with "presenter" or higher privileges in the meeting. If the organizer limits ``users who can present'' to ``only the organizer'' or ``specific users'' in the meeting options, the share button will be grayed out for other participants.
According to Microsoft official documentation, the presenter privilege settings UI has been changed in the May 2025 update.
How to deal with it
- Chat to ask the organizer to "promote you to presenter" during the meeting
- The organizer can be changed in the meeting control → “…” → “Meeting options” → “Users who can present”
- If it is a regular meeting, it will be smoother if you set the option to "all" in advance
Cause 2: The administrator has disabled screen sharing mode
In some cases, your company's IT administrator may have disabled screen sharing mode in the Teams admin center. In companies with strict security policies, this setting may be turned off to prevent information leaks.
Microsoft's meeting policy settings allows you to control the screen sharing mode in three stages: "Entire screen", "Single application", and "Disabled". In the case of "single application", the entire desktop cannot be shared, only individual windows can be shared.
How to deal with it
- You cannot change it yourself, so please contact your IT administrator (information systems department)
- Admins can change settings from Teams Admin Center → Meetings → Meeting Policies → Content Sharing

Cause 3: Mac's "screen recording" permission is not granted to Teams
This is a pitfall specific to Mac users. On macOS, you need Screen Recording permission to pass screen content to other apps. If Teams doesn't have this permission, nothing will appear on the other person's screen when you press the share button.
Especially after the September 2024 release of macOS Sequoia (15. Also described in rel="noopener">Microsoft's official deployment guide).
How to deal with it
- Open System Settings (Apple menu in the top left → "System Settings")
- Select Privacy & Security from the sidebar
- Click Screen Recording and System Audio Recording
- Find Microsoft Teams in the list and turn on the toggle
- Completely quit and restart Teams (right-click on the Dock → "Exit")
* If Teams is not displayed in the list, please add the app manually from the "+" button at the bottom left.
Cause 4: Insufficient network bandwidth/VPN interference
Screen sharing consumes more network bandwidth than video calls. According to Microsoft's recommendation, screen sharing requires at least 1.5Mbps (2Mbps or more recommended) of upstream bandwidth.
Also, if you use Teams over your company's VPN, the VPN server may become a bottleneck, making screen sharing extremely slow or disconnecting.
How to deal with it
- Check the upload speed with Speedtest, and if it is less than 2Mbps, use wired LAN instead of Wi-Fi
- If you are using a VPN, check with your IT administrator whether split tunneling (a setting where only Teams communication does not go through the VPN) is possible
- Stop unnecessary video streaming and cloud syncing during meetings
- It is also effective to turn off the camera to save bandwidth
Cause 5: Teams app cache is corrupt
The Teams desktop app accumulates a large amount of cache files. If this breaks, not only screen sharing but various other features may not work properly.

- Completely exit Teams (right-click the Teams icon on the taskbar → "Exit")

Cause 6: Limitations of the browser version of Teams/insufficient browser privileges
If you are using the browser version of Teams instead of the desktop app, there may be limitations on screen sharing depending on the browser.
As of February 2026, screen sharing is fully functional only in Microsoft Edge and Google Chrome. Screen sharing is not available or has some limitations in Firefox, Safari, and Opera.
How to deal with it
- Switch to Edge or Chrome and access teams.microsoft.com
- Click on the icon to the left of the browser's address bar and check that "Screen sharing" is set to "Allow"
- For Chrome: You can check the allow list at
chrome://settings/content/screenCapture - If it doesn't work in the browser, it's best to install the desktop app
Last resort when the problem persists
If the above six steps do not resolve the issue, please try the steps below.
- Uninstall → ReinstallTeams (Settings → Apps → Microsoft Teams → Uninstall)
- Restart your PC (surprisingly, this alone often fixes the problem)
- Temporarily switch to the browser version (useful for isolating problems with the desktop app)
- Check if screen sharing works properly with other tools such as Zoom, and isolate whether the problem is with the PC itself or with Teams.
If the issue persists, contact your IT administrator or file a support request through the Microsoft 365 admin center.
